This policy explains what we ("BillableCue", "we") collect when you use BillableCue, why, and the choices you have.
Who we are

What we collect

| Sign-in data | For each signed-in session: IP address, browser/device type and session times, used to keep your account secure. |
Secure Change Order approval links show the sender's frozen business and commercial details to anyone holding the link. We store a hash of the link token and the submitted approver name, email, decision, optional comment and timestamps. These identities are self-reported; email ownership is not verified. Public approval submissions do not store IP addresses or user-agent information.
We use one essential cookie to keep you signed in. We don't use advertising or analytics cookies, and we don't track you across other websites. We don't collect payment card details.
How we use it
- To provide the service: store your workspace and show it to you in the dashboard and through connected assistants.
- To keep it secure: sign-in, preventing abuse, and investigating problems.
- To support you when you contact us.
- To tell you about important changes to the service or this policy.
We don't sell your data, use it for advertising, or use your workspace content to train AI models.
ChatGPT, Claude and other assistants
BillableCue doesn't run AI models. If you connect an AI assistant, it can read and change your workspace through BillableCue for as long as you keep it connected, and what it reads is sent to that assistant's provider (for example OpenAI or Anthropic) under their own terms and privacy policy. You choose whether to connect, and you can disconnect any time on the Assistants page, which stops access immediately.
Who processes your data
We use these service providers to run BillableCue. They process data only on our instructions:
- Vercel: hosts the website and application.
- Supabase: stores the database and uploaded contract files.
Both currently run our service in the Mumbai (India) region. We may also disclose data if required by law or to protect the rights and safety of our users or the service.
How long we keep it
We keep your account and workspace while your account exists. When you delete your account in Settings, we delete your account and workspace content, including uploaded files, straight away. If you ask us by email instead, we delete your account and workspace content, including uploaded files, within 30 days, except where the law requires us to keep something. Backups kept by our providers may hold copies for a limited time after that before they are overwritten. Sign-in sessions expire automatically.
Your choices and rights
- View and edit your data in the dashboard at any time.
- Disconnect any AI assistant on the Assistants page.
- Download a copy of all your workspace data, or delete your account and everything in it, on the Settings page at any time.
- Or email (to be added) for a copy, a correction or a deletion. We answer within 30 days.
- Depending on where you live, you may have further rights under local law, and you can complain to your data protection authority.
Security
Data travels over encrypted connections (HTTPS). Each workspace is kept separate, passwords are hashed, uploaded files are private, and assistant access requires your approval and can be revoked. No system is perfectly secure, so please use a strong password and tell us about any concern.
Children
BillableCue is a business tool and isn't intended for anyone under 18.
Changes
If we change this policy we'll update the date above, and for significant changes we'll tell you by email or in the app before they take effect.
